01 — The service
VoxNotes is a voice-to-text note-taking application delivered as a Progressive Web App (PWA). The service operates in two modes:
On-device transcription
Audio is processed locally on your device using Whisper AI via WebAssembly. No audio data is transmitted to any server. No account is required. This mode works offline and is available to all users at no cost, with no usage limits.
Cloud-powered transcription
Audio is securely transmitted to a third-party transcription provider for faster processing. Audio and resulting text are deleted from the provider's servers immediately after processing. An account and active subscription are required. See our Privacy Policy for full details on data handling.
We reserve the right to modify, suspend, or discontinue any part of the service at any time. If we discontinue a paid feature, you will receive a prorated refund for any unused subscription time.
02 — Accounts
An account is not required to use Privacy Mode. You can use VoxNotes indefinitely without creating an account or providing any personal information.
If you choose to create an account (for cross-device sync or Speed Mode access), you agree to:
- Provide accurate and current information (specifically, a valid email address)
- Keep your password secure and confidential
- Notify us promptly if you suspect unauthorized access to your account
- Accept responsibility for all activity under your account
We only require an email address and password to create an account. We will never ask for your real name, phone number, address, or other personal details.
You can delete your account at any time from the app settings. Deletion removes all account data and synced notes from our servers permanently. Notes stored locally on your device are not affected by account deletion.
03 — Billing & subscriptions
Speed Mode subscription
Speed Mode costs $7 per month, billed monthly through Stripe. Your subscription begins when you complete payment and renews automatically each month on the same date.
Free trial
New users may receive a limited number of free Speed Mode transcriptions to evaluate the service before subscribing. Trial availability and terms may vary.
Cancellation
You can cancel your subscription at any time from your account settings. Upon cancellation, you retain access to Speed Mode until the end of your current billing period. After that, your account reverts to Privacy Mode (free) — no data is lost, and your local notes remain unaffected.
Price changes
We may adjust subscription pricing in the future. If we increase the price, we will notify you at least 30 days before the change takes effect. You can cancel before the new price applies. Continuing to use the service after the price change constitutes acceptance of the new price.

04 — Your content
You own your content. Period. Your audio recordings, transcriptions, and notes belong to you. We do not claim any ownership, license, or rights to your content. We do not access, read, analyze, or use your content for any purpose — including training AI models.
Privacy Mode content
Content created in Privacy Mode is stored exclusively on your device in your browser's local storage (IndexedDB). We have no technical ability to access it.
Synced content
If you use cross-device sync, your notes are end-to-end encrypted before leaving your device. We store the encrypted data to enable sync but cannot decrypt or read it.
Speed Mode content
Audio sent via Speed Mode is transmitted to our transcription provider, processed, and deleted immediately. The resulting transcription is returned to your device and stored locally. We do not retain copies of your audio or transcriptions on our servers.
Export & portability
You can export all your notes at any time in open formats (markdown, plain text, PDF). Your data is never locked in. If you delete your account, your local notes remain on your device.
05 — Acceptable use
You agree not to use VoxNotes to:
- Violate any applicable law or regulation
- Infringe on the intellectual property rights of others
- Attempt to gain unauthorized access to VoxNotes systems, other users' accounts, or our infrastructure
- Transmit malware, viruses, or any code designed to harm or disrupt the service
- Abuse the Speed Mode service through automated scripts, bots, or bulk processing beyond normal personal use
- Resell, sublicense, or redistribute VoxNotes or its features to third parties
- Reverse-engineer, decompile, or extract source code from VoxNotes (except where permitted by open-source licenses for specific components)
We reserve the right to suspend or terminate accounts that violate these terms. We will provide notice and an opportunity to correct the behavior before permanent termination, except in cases of severe or repeated abuse.
06 — Intellectual property
VoxNotes, its logo, design, code, and documentation are owned by VoxNotes and protected by applicable intellectual property laws. You are granted a limited, non-exclusive, non-transferable license to use the service for personal or professional use as described in these terms.
This license does not include the right to modify, distribute, or create derivative works based on VoxNotes, except where specific components are released under open-source licenses (which will be clearly identified).
Your content remains yours — see Section 04.
07 — Disclaimers
VoxNotes is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not guarantee that:
- Transcriptions will be 100% accurate (Whisper AI, like all speech recognition, makes errors)
- The service will be uninterrupted, error-free, or available at all times
- On-device processing speed will meet your expectations on all devices (performance depends on your hardware)
- The service will be compatible with all browsers or operating systems
A note on transcription accuracy
Speech-to-text technology is imperfect. Transcriptions may contain errors, especially with background noise, accents, technical jargon, or multiple speakers. Always review important transcriptions before relying on them for critical purposes. VoxNotes is not a substitute for professional transcription services in legal, medical, or regulatory contexts where verbatim accuracy is required.
08 — Limitation of liability
To the maximum extent permitted by applicable law, VoxNotes and its creators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:
- Loss of data (notes stored locally are your responsibility to back up)
- Loss of revenue or business opportunities
- Inaccurate transcriptions or reliance on transcription output
- Service interruptions or downtime
Our total liability for any claim arising from or related to the service is limited to the amount you paid us in the 12 months preceding the claim, or $50, whichever is greater.
This limitation applies regardless of the legal theory (contract, tort, negligence, or otherwise) and even if we have been advised of the possibility of such damages.
09 — Termination
By you
You can stop using VoxNotes at any time. If you have an account, you can delete it from the app settings. If you have an active Speed Mode subscription, cancel it before deleting your account to avoid further charges.
By us
We may suspend or terminate your account if you violate these terms. In non-emergency situations, we will give you reasonable notice and an opportunity to export your data before termination. In cases of severe abuse (security threats, fraud), we may act immediately.
After termination
Notes stored locally on your device remain yours and are not affected by account termination. Synced notes stored on our servers will be deleted within 30 days of account closure. Any prepaid subscription fees for unused periods will be refunded per our Refund Policy.
10 — Changes to these terms
We may update these terms from time to time. If we make material changes, we will notify you by email (if you have an account) and display a prominent notice in the app at least 14 days before the changes take effect.
Continuing to use VoxNotes after changes take effect means you accept the updated terms. If you disagree with the changes, you can delete your account and stop using the service — your local notes remain yours.
